Our Commitment to Quality
The oneSOURCE Document Update team is dedicated to maintaining a comprehensive collection of current manufacturers’ Instructions for Use (IFUs) and other manuals for our healthcare facility clients to support their compliance and patient safety efforts. Our operational procedures and work instructions are based on ISO 9001:2015 standards.
More than 200,000 users from approximately 5,300 healthcare facilities worldwide access one or more of our five databases annually. We work with more than 3,000 health care device, material and equipment manufacturers to distribute their product IFUs and manuals through our database services.
- At our clients’ request, we contact manufacturers to obtain current documents, verifying catalog and product numbers.
- We maintain a log of these interactions.
- Data entry is managed through quality assurance checkpoints to help ensure accuracy.
While we strive to ensure the manufacturers’ documents in our database are current and accurate, it is the responsibility of each user to confirm that the documents they access from oneSOURCE are the appropriate ones for their use.
Obtaining and Managing the Documents in our Databases
Once the most current document from a manufacturer has been received and added to the oneSOURCE database, it’s placed on a maintenance schedule during which we confirm with the manufacturer that the document in our database is their most recent version. During this verification process, we also obtain new/revised versions.
The maintenance schedules for the documents in the database are noted below.
- Surgical Equipment & Instruments Database – Three months
- Biomedical Service Manuals & Documentation Database – Annually
- Tissue & Implant Database – Three months
- Facilities Maintenance Database – Annually
- Dental Database:
- Dental Instrument/Equipment – Thee months
- SDS/MSDS – Six months
- Consumables – Annually
- Implants – Three months
We also enroll manufacturers at no cost in our Advantage Program. These manufacturers can audit their documents on our websites through their own secure portals and provide us with updated materials at any time.
In some cases, we are not able to obtain a document from a manufacturer, for example when it must be purchased, when manufacturer training is required or if the manufacturer refuses to provide its documents to third parties. In these situations, we encourage our clients to contact the manufacturer and explain the importance of making their documents available through oneSOURCE.
